NASC-ASCP 2024 Annual Meeting Proposal Guidelines

The National Association of State Chambers (NASC) and our affiliate organization, the Association of State Chamber Professionals (ASCP), seek proposals for our 2024 Annual Meeting.

About the Organizations

NASC and ASCP members are:

  • Presidents and CEOs of the State Chambers of Commerce—the leading business associations in nearly every state in the U.S.
  • Vice Presidents and other senior State Chamber of Commerce executives with responsibility for:
    • Membership & Marketing
    • Government Affairs, Political Affairs and Policy
    • Communications

As such, they are the top business association leaders within their states. Their Boards of Directors are made up of the highest corporate and organizational leaders in America.

About the Meeting

  • Our annual meeting is the largest meeting held by our organizations
  • The meeting is held in late August/September; for 2024 we are flexible with regard to dates
  • The meeting customarily begins on Sunday afternoon and concludes on Wednesday morning
  • Total attendance, including participants, speakers, sponsors and guests averages approximately 125 people
  • Total room nights used is approximately 300
  • Meeting room needs include:
    • Ballroom or similar space seating at least 100 people in half rounds
    • Three additional breakout rooms seating 50-60 each, seated in U-shape
    • We also host two dinners during the conference, with attendance of approximately 125, seated in rounds

Characteristics of Successful Proposals

Successful proposals for hosting past NASC-ASCP annual meetings include several common characteristics:

  • Strong support from the host state chamber of commerce. NASC and ASCP both have staff to organize and run the meeting itself, but the host state chamber plays a critical role in:
    • Selection of venue(s) for dinners and other events
    • Organizing or providing guidance for extracurricular activities
    • Identifying local speakers (e.g., the governor of the state)
    • Serving as local liaison between the host hotel, venue(s) and NASC-ASCP staff
    • $25,000 (or more) in local sponsorships to defray the overall meeting costs
    • Room rates of $225/night or lower for double occupancy
    • Group rates available at least three nights before and after the event
    • Complimentary hospitality suite for each night of the meeting
    • Free internet connectivity in sleeping and meeting rooms
